About the Round Table Family

Round Table Belgium is a dynamic non-profit organization bringing together young men aged 18 to 40 around the values of friendship, service, and personal development. Through local clubs across Belgium, our members actively engage in social projects, cultural exchanges, and community involvement.

Our motto, “Adopt, Adapt, Improve,” encourages continuous personal growth and positive impact on society. Every year, our clubs collectively raise more than €1.5 million for charitable causes.

41 Clubs Belgium is the non-profit organization that succeeds Round Table for men aged 41 and over. It pursues the same objectives and operates according to the same principles.
 


Your Role

As the Administrative Assistant of the Round Table Family, you are the administrative backbone of the national organization. You support the President and National Boards of both organizations, ensure smooth communication between clubs, and help guarantee operational continuity.

You combine strong organizational skills with a genuine commitment to the Round Table community.

Key Responsibilities

Administration & Meeting Reporting

  • Draft minutes for Board meetings, General Assemblies, and other official meetings.
  • Manage National Committee agendas and ensure timely follow-up of action points.
  • Maintain and organize official documents, statutes, and organizational correspondence.
  • Manage and update member records and club information through our CRM and shared administration platform.

Communication & Coordination

  • Act as the central point of contact for club secretaries and members regarding national operations.
  • Distribute information and communications to all clubs and members.
  • Coordinate internal communication between the five regional zones.

Events & Meetings

  • Provide administrative support for national meetings, General Assemblies, and national events.
  • Maintain attendance records and ensure follow-up after meetings.
  • Support and help prepare the organization of (international) activities.

Who Are You?

  • You have strong organizational and administrative skills and appreciate structure and accuracy.
  • You communicate fluently in Dutch and French; knowledge of German and/or English is an asset.
  • You are proactive, reliable, and capable of setting priorities.
  • You enjoy working with a diverse team of motivated volunteers.
  • You are comfortable using common digital tools (Google Workspace, Microsoft 365, social media, etc.).
  • You are willing to learn and work with our CRM system.
  • You are available to attend meetings approximately two evenings per month.
